Office Manager
London
This lovely design studio are looking for an Office Manager to run their London team. They work on some exciting projects creating great places where people belong.
As the Office Manager you will oversee the day to day management of the studio and its working environment so that the culture reflects that described in their Charter. To support the Office Director in delivering business plans and office targets.
Management of administrative services and PA support to OD and others where required.
Key accountabilities:
Ensure the effective delivery of office administrative and reception services
Contribute to the development and communication of their culture, policy, systems, especially in relation to creativity, environmental care and the respect of others in the team
Support the team to improve ways of working to aid communication, collaboration and efficiency
Ensure office health and safety compliance and routine checks and certifications are carried out and liaise with studio H & S advisors.
Liaise with the landlord to agree and implement building maintenance works
Prepare and maintain a record of office overheads and costs and make savings where possible
Support in developing office improvement plans in line with agreed budgets
Manage the approval of annual leave in conjunction with the people and resource managers
Ensure all new employee owners are provided with a full induction into office procedures
Ensure the delivery of office cleaning contracts and office security/alarms.
Attend and contribute ideas and feedback to Admin Forum meetings and discussions
Key Tasks
Responsibility for provision of PQQ and Bid Support
Provide Project Administrator role to proactively support Project Leaders and play an active role in set-up, finances and invoicing
Social and Office events coordination
Person specification:
Proven experience of working in a creative office environment
Good working experience of Microsoft packages including Outlook, Excel, Word. Some experience with InDesign desirable
Self motivated
Flexible approach
You will have the ability to work as part of an effective team, use your initiative, and possess the confidence to take full responsibility for your work.
You should have great interpersonal skills and the ability to communicate at all levels.
Possess a strong eye for detail
The ability to maintain a high degree of discretion and confidentiality
