Administrator

Location: Harrow, Office-based

Salary: Competitive Salary

Contract: Full-time / Part-time

Reports to: Manager

About Us

As a small but growing independent fostering agency, we pride ourselves on providing a warm, professional, and responsive environment for carers, staff, and – most importantly – the children in our care.

We are now seeking a motivated and highly organised Administrator to join our team and provide essential support to the operational and social work functions of the agency.

Job Description – Key Responsibilities

* Providing general office and clerical support to the team

* Managing incoming and outgoing correspondence (emails, calls, post)

* Coordinating panel meetings, minute taking, and document distribution

* Maintaining accurate and confidential records and filing systems

* Assisting with data entry and updating the fostering management system

* Supporting the recruitment and assessment process of foster carers

* Handling DBS checks, reference requests, and training records

* Ordering office supplies and maintaining stationery/equipment

* Supporting compliance and audits through accurate document control

* Maintaining confidentiality in accordance with GDPR and safeguarding policies

Person Specification – What We’re Looking For

Essential:

* Proven experience in an administrative role (ideally in a social care, education, or healthcare setting)

* Excellent written and verbal communication skills

* Strong organisational and time-management abilities

* Proficient in Microsoft Office (Word, Excel, Outlook, Teams)

* High level of attention to detail and accuracy

* Ability to handle confidential information sensitively and professionally

* A proactive, flexible, and team-oriented approach

* Commitment to safeguarding and promoting the welfare of children and young people Desirable:

* Experience working in a fostering, social care or not-for-profit environment Familiarity with fostering panel processes or compliance

* Knowledge of data protection and GDPR requirements

* Experience using fostering or care management software (e.g. CHARMS, Mosaic)
