Planning Assistant

This role reports directly into Production Planning Manager. The purpose of the role is to provide overall administrative support to the planning department and to provide cover and assistance to the Customer Order Coordinator. They key objectives of the role are to ensure that all administrative tasks are completed on time to ensure the smooth running of the department, this will include a wide range task which will be set by the Planning Manager and Planning Customer Order Coordinator.
Duties will include:
In supporting the Planning Team, the planning administrator will:
Provide administrative assistance to the Planning Manager, the Operations Planners, and the Planning Customer Order Coordinator.
Deal with internal telephone calls and field as appropriate.
File all documents accordingly – paper and electronically. (Route Cards, Paint Records, Survey Reports etc.)
Record Labour Booking from the Shop floor Timecards daily.
Complete all reconciliation on Timecards and liaise with HR as and when required.
Print Route Cards and attach any relevant documents or information before distributing to correct areas.
Check and ensure Route Cards are completed before filing.
Deliver and collect documents from other areas.
Order/replenish stationery for the planning department.
Provide cover and assist the Customer Order Coordinator.
Any other duties associated with providing full administrative support to the planning department, which contributes to the smooth running of the department, and contribute to the ongoing improvement.
Essential skills, experience and knowledge requirements:
The successful candidate must.
Have a good standard of general education.
Be experienced in working in a busy office environment, with ability to prioritise tasks and organs workload.
Posses’ excellent communication, interpersonal, ad relationship building skills, and be an effective team member.
Be IT literate with working knowledge and experience of MS Office packages and be confident in learning to use and work with In-house systems.
Have strong attention to detail – accurate record keeping.
Must be able to work to deadlines.
