Role Description The Executive Assistant role at Mello World is a full-time, on-site position based in London. This role supports senior leaders by managing calendars, coordinating meetings, arranging travel, and preparing agendas and meeting materials. Day-to-day responsibilities include handling correspondence, drafting and reviewing documents, tracking action items, and maintaining organized filing and record-keeping systems. The Executive Assistant will process and reconcile expense reports, help coordinate internal and external events, and serve as a key point of contact between executives and internal teams or external stakeholders. The role requires maintaining confidentiality, prioritizing multiple tasks, and ensuring that executives are fully prepared and informed for their daily activities.
Qualifications
  • Strong Executive Administrative Assistance and Executive Support skills, including calendar management, travel coordination, and meeting preparation.
  • Proficiency in Administrative Assistance tasks such as document handling, records management, and office organization.
  • Ability to prepare, track, and reconcile Expense Reports with attention to detail and accuracy.
  • Excellent Communication skills, both written and verbal, to interact professionally with stakeholders at all levels.
  • Prior experience in an executive assistant or senior administrative role, ideally supporting multiple leaders.
  • Comfort with productivity tools (e.g., Microsoft Office, Google Workspace) and scheduling platforms.
  • Strong organizational, time management, and problem-solving abilities, with a focus on confidentiality and discretion.
  • Relevant education or training in business administration, office management, or a related field is beneficial.
