Scheduling Administrator

Whiteley, Hampshire

Monday to Friday, 8:00am to 4:30pm

Equivalent to £28,000 per annum

Temporary Position with a view to go permanent

Are you a highly organised administrator with excellent communication skills and a passion for delivering outstanding customer service? Do you enjoy working in a fast-paced environment where no two days are the same? If so, we would love to hear from you.

Our client is looking for a Scheduling Administrator to join their busy team based in Whiteley. Working within the Technical Team and alongside a close-knit team, you will play a vital role in coordinating maintenance activities and supporting the delivery of facilities maintenance services across a portfolio of public sector clients.

This is a varied, fast-paced and technology-driven role that would suit someone who is naturally organised, confident using multiple software platforms and keen to work in a technical environment. The successful candidate will be comfortable navigating systems, client portals and Microsoft Office applications while acting as a key point of contact for clients, engineers, subcontractors and internal teams. A large proportion of the role involves telephone communication, making strong verbal communication skills essential.

Key Responsibilities

Managing and administering planned maintenance tickets and client requests.

Updating and maintaining asset records and documentation within internal systems.

Ensuring maintenance paperwork and compliance documentation is completed accurately and uploaded on time.

Updating client systems with work progress and completion details.

Scheduling engineers and specialist subcontractors, coordinating resources and site access requirements.

Liaising with clients, engineers, contractors and internal teams to ensure works are completed on schedule.

Monitoring maintenance plans and raising work orders as required.

Supporting the production of management information and monthly reports.

Handling client enquiries and delivering a proactive, customer-focused service.

Raising purchase orders for materials and subcontractor services.

Providing general administrative support and team cover when required.

Maintaining accurate records and supporting compliance across maintenance contracts.What We're Looking For

Previous administration, coordination or scheduling experience.

Strong organisational skills with the ability to manage multiple priorities.

Excellent attention to detail and accuracy.

Confident Microsoft Office user, particularly Excel.

Strong written and verbal communication skills.

Experience working with databases, service management systems.

A professional, customer-focused approach.

Ability to build strong working relationships with clients and stakeholders.

Comfortable working independently and as part of a collaborative team.

Tech-savvy with the confidence to learn and adapt to multiple software platforms.

Excellent telephone manner with the ability to build rapport and resolve queries effectively.What's On Offer?
