Job Description

Job Title: Operational Support Administrator

Location: FORCE Cancer Centre, Barrack Road, EX2 5DW

Trust: Royal Devon University Healthcare NHS FT

Payrate: Band 3, £14.05 per hour

Shift Patterns: Monday, Thursday and Friday, 8am - 4pm or 8:30am - 4:30pm (3 Days A week) (22.5 hours per week)

Duration: Start: ASAP End date: 31st December 2026

* To contribute to the administration of the support services delivered at FORCE, including the benefits service, Counselling assessment & 1st appointments

* To informally assess each contact for their wider emotional, mental, psychological and physiological support needs, making referrals and signposting where appropriate

* To liaise with cancer patients and their families, carers and supportive people tactfully, patiently and with empathy, in line with our ethos of ‘being a real human being’ and offering a warm, humane, caring and empowering presence to service users and colleagues.

Operational duties

* Responsible for the smooth running of the benefits service appointment system

* Monitor services daily to ensure full utilisation of slots and escalate any issues to Line Manager.

* Maintain direct contact with Support Service staff to ensure sessions run smoothly within maximum capacity and appropriate bookings.

* Liaising with service users by phone, email and face-to-face to book in appointments for a range of support services

* Liaising with external agencies such as the Citizens Advice service to make referrals to their service

* Ensure that all relevant data is collected and shared appropriately in referrals

* Enter data relating to service users on FORCE database and use appropriate referral networks for support services.

* Collecting available appointment time slots from the counselling team

* Liaising with service users by phone, email and face-to-face to book in counselling appointments with named counsellors

* Signposting of service users to other external services where relevant

* Ensure accurate and up-to-date client’s details are maintained on FORCE information systems in line with Trust/FORCE Information Governance policy.

* Maintain clients’ records and files in line with FORCE Policy.

* Record appointment outcomes accurately onto the FORCE database

* Archive notes, following data protection and FORCE guidelines
