Job Description

Examination Administration Assistant

Location: Northampton (Hybrid Working Available Following Training)
Job Type: Full Time, Permanent
Salary: £23,625 - £25,000 DOE
⏰ Hours: Monday - Friday, 35 hours per week

We are seeking a highly organised and detail-focused Examination Administration Assistant to join a respected professional certification and membership organisation based in Northampton.

Working closely with internal teams, candidates, and international stakeholders, you will play a key role in supporting examination administration, certification processes, database management, and customer service activities. This is an excellent opportunity for an experienced administrator who thrives in a structured environment and enjoys working with accuracy and attention to detail.

Key Responsibilities

· Support the administration of online and paper-based examinations.
· Maintain and update examination databases and candidate records.
· Upload, review and quality-check examination questions and papers.
· Process examination applications, renewals and certification requests.
· Coordinate examination schedules and liaise with invigilators.
· Prepare examination materials and candidate documentation.
· Mark examination papers and issue examination results and certificates.
· Raise invoices and purchase orders.
· Conduct data analysis and maintain accurate records.
· Support ongoing database projects and system improvements.
· Assist with the implementation of online portals and application management systems.
· Provide exceptional customer service to candidates and stakeholders.

Please note: This role may require occasional travel to support national and international events.

What We're Looking For

You will be a proactive and organised administrator with excellent attention to detail and strong communication skills. You will enjoy working with data, managing multiple priorities, and delivering a consistently high standard of customer service.

Requirements include:

· Previous administration experience within a busy office environment.
· Excellent written and verbal communication skills.
· Strong attention to detail and commitment to accuracy.
· Proficiency in Microsoft Office, including Word, Excel and Outlook.
· Strong organisational and time-management skills.
· Ability to work effectively both independently and as part of a team.
· Excellent customer service and interpersonal skills.
· Ability to meet deadlines and manage a varied workload.
· Full UK driving licence and passport, or willingness to obtain.

Nice to Have

· Experience working with databases, CRM systems or document management systems.
· Experience within examinations, education, certification, compliance or professional membership organisations.
· NVQ Level 3, A-Levels or equivalent qualification.
· Experience supporting process improvement initiatives.
· Strong analytical and problem-solving skills.
· Experience working within a quality-focused or regulated environment.
