Job summary
The Student Data and Records Specialist maintains the accuracy of student data and records including maintaining, reviewing and updating student data on the student records system. The Student Data and Records Specialist undertakes a wide range of administrative and business processes to support the accuracy and maintenance of student records and the submission of statutory returns, and the development of operational and business processes to support this function.
The Student Data and Records Specialist is part of the Registry Team and will work closely with colleagues both within the team and across different services to ensure that processes and systems are aligned with business and statutory reporting requirements.
Key purpose of the role
To maintain and verify accurate student records on the student management information system including student personal information and change of circumstance including the accuracy of progression and award data.
To act as a point of contact for student records enquiries liaising and working with a wide range of staff and maintaining effective working relationships across the School.
To support the preparation of the submission of regulatory and awarding body data returns ensuring data is correctly coded and provided on schedule.
To support the institutional preparation for and implementation of Data Futures working closely with the Student Records Coordinator.
To check student information, including identity and verification of academic certificates.
To provide a wide range of data analysis reports to support management and information planning.
To support the DAP’s process under the supervision of the Student Record Coordinator by developing and providing periodical reports and analysis including EDI reporting, KPI reporting, and strategic decision making.
To support the preparation of the submission and analyse Graduate Outcomes and sector institutional benchmarking to maintain sufficient compliance with external regulators.
To provide Statutory returns data analysis presentable to internal and external stakeholders.
To support the internal audit process in providing information to support verification in an audit situation.
To process and maintain student data in accordance with data protection legislation, institutional policies and awarding body requirements.
To maintain up to date knowledge of sector practice and relevant regulatory reporting requirements.
To support and participate in a wide range of School events including Welcome Week, enrolment and Graduation.
Education and skills
Bachelors Degree or equivalent preferably in data analysis or equivalent.
Previous experience in HESA preferably Data Futures
Excellent attention to detail and working accurately and adhering to policies and procedures
Excellent IT skills including Excel and experience of using a student records system
Excellent organisational skills and ability to meet deadlines and work accurately under pressure
Effective communication and interpersonal skills
Ability to both be a team player and work independently
