Job Description

Job Title Fleet Coordinator (Part-Time)Location Gateshead OfficeHours 22.5 hours per weekJob PurposeThe Fleet Coordinator is responsible for supporting the efficient management of the company's vehicle fleet. This role ensures that vehicles are maintained, compliant, and available to support operational requirements while providing excellent administrative support, liaising with drivers, suppliers, and internal stakeholders.The successful candidate will be highly organised, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.Key ResponsibilitiesFleet AdministrationMaintain accurate and up-to-date fleet records, including vehicle inspections, servicing, MOTs, insurance, licences, and taxation.Monitor vehicle compliance and ensure all documentation is current and legally compliant.Coordinate vehicle servicing, maintenance, repairs, and breakdown assistance.Maintain records of vehicle allocations, mileage, fuel usage, and associated costs.Manage onboarding and off boarding of all vehicles.Vehicle Compliance and ManagementSchedule and monitor MOTs, inspections, servicing, and warranty work.Ensure fleet vehicles meet health, safety, and regulatory requirements.Support accident and incident management processes, including reporting and documentation.Assist with managing company vehicle handovers and returns.Supplier and Stakeholder LiaisonAct as a key point of contact for drivers, vehicle suppliers, leasing companies, and maintenance providers.Build positive working relationships with external suppliers to ensure high levels of service.Resolve fleet-related queries promptly and professionally.General SupportProvide administrative support to the Operations and Fleet teams.Assist with the implementation of fleet policies and procedures.Support business initiatives aimed at improving fleet performance, safety, and sustainability.Person SpecificationEssential Skills and ExperiencePrevious administrative or coordination experience.Strong organisational skills with excellent attention to detail.Ability to prioritise workload and meet deadlines.Proficient in Microsoft Office applications, particularly Excel, Outlook and Word.Excellent communication and interpersonal skills.Ability to work independently and as part of a team.Strong problem-solving skills and proactive approach.Desirable Skills and ExperiencePrevious experience within fleet, transport, logistics, or vehicle management.Knowledge of vehicle compliance requirements and fleet legislation.Experience working with fleet management systems.Personal AttributesReliable and professional.Highly organised and methodical.Customer-focused approach.Adaptable and willing to learn.Positive and solution-oriented mindset.BenefitsCompetitive part-time salary.Company car allowanceCompany pension scheme.Employee wellbeing support.Friendly and supportive working environment.JBRP1_UKTJ
