Job description - the role

On Behalf of Arup, we are looking for a Document Controller for a 6 month contract based in London or Newcastle (hybrid).

Candidate Profile: Key accountabilities, skills & experience

Role Responsibilities

  • Follow project guidelines with ease to log in, record and upload deliverables
  • Registers; Logs and Tracks TQs & RFIs using project processes
  • Maintain project specific guidance notes and records
  • Keep up to date with policy, procedure and seek advice with problems.
  • Record and submit time spent on projects
  • Plan own workload
  • Access guidance on standards for collaboration
  • Identify issues and deal with them independently or escalata where appropriate
  • Attend and contribute to local Document Control team meetings
  • May attend project meetings
  • Tracking; reporting and chasing time sensitive deliverables
  • Support and provide cover for others in your discipline and location
  • Professionally communicate with relevant individuals as requested by the business
  • Identify processes within the role which could be improved
  • Obtain compliant drawing / document numbers
  • Verifying and quality checking documentation prior to issue.
  • Uploading and downloading incoming and outgoing correspondence from multiple Extranet Sites.
  • Experience in handling large scale document control submissions, working to tight milestone deadlines

Essential Skills and Knowledge

  • Able to work collaboratively across a remote team
  • Good knowledge of multiple extranet sites
  • Understand the basic principles behind workload planning and its relevance -
  • Be open to new ways of working
  • Good knowledge of document control systems
  • Works accurately, quickly, and independently
  • Approach work with a problem-solving attitude, but knows when to elevate
  • Be open to new ways of working
  • Understanding of the importance of accurate and correctly stored data
  • Interested to develop knowledge and know when to ask for help
  • Willingness to learn from others
  • Good knowledge of Microsoft packages
  • Interested in new digital tools and methods
  • Experience of high-volume accurate data entry
