Job description
The role is within our busy operations team of 5 people and involves supporting the firm's 50+ lawyers (and non-lawyers) with all aspects of administration of their files aswell as the day-to-day operations of a busy law firm.
The ideal candidate will have a high attention to detail, eagerness to learn, self-motivated and awareness of client confidentiality and sensitive information.
Qualifications and Experience
Essential:
Previous administrative experience
Desirable :
Experience in a legal firm; a legal degree is not required
Experience using Case Management systems (e.g.: DPS OneOffice)
Knowledge, Skills and Abilities
Proficiency in Microsoft Office (Word, Excel, and Outlook); experience with Exceland Adobe Acrobat Pro is a plus
Meticulous attention to detail in tasks, writing, and numeric figures
Excellent communication skills both written and verbal
Ability to multi-task and organise own work
Ability to prioritise and coordinate work
Ability to maintain confidential information
Ability to maintain, follow up and complete outstanding tasks
Key Responsibilities include:
Financial
Day-to-day payment management, incoming and outgoing
Liaising with bookkeepers to maintain consistent accounting records
Paying consultants and suppliers on a regular basis
Liaising with fee earners for quarterly file management and closure
Administrative
Daily document management including post, faxes, photocopying, printing,scanning, binding, and shredding
Internal phone reception
Monitoring incoming queries and routing to appropriate recipient
Maintenance of office area, equipment, and supplies
Managing Outlook calendars
Handle written and electronic correspondence
Schedule meetings, reserve rooms, coordinate video or audio equipment, andorder food
Ad hoc internet research as required
Document creation and editing (including using digital signature software)
Perform any other duties as necessary and as assigned, for efficient functioningof the Department, Office, and Firm
Client opening
Liaising with fee earners regarding client onboarding procedures andcompliance
Creating, reviewing, and communicating reports required for Client DueDiligence
Office Hours
5 days per week (Mon-Fri)
9am-5pm
